Beyond Community Forum for Tour Operators | From Challenges to Practical Solutions for Sustainable Tourism
By Beyond Destination
In light of the recent challenges faced by the travel sector, it has become clear that organizing trips no longer solely depends on choosing a destination and preparing an itinerary. Instead, it now requires greater flexibility, alternative plans, and genuine cooperation among organizers.
From this perspective, we organized the Beyond Community Forum for Tour Operators, with the aim of creating a space for tour operators and experts to discuss current challenges, exchange experiences, and seek practical solutions that help ensure the continuity of trips, minimize losses, and enhance traveler safety and clarity of experience.
The forum was not merely an introductory meeting; it was the beginning of an important professional dialogue about the future of tour organizing and how organizers can deal with unexpected circumstances in a more professional and prepared manner.
Speakers and Guests
The forum was distinguished by the presence of an elite group of experts and specialists, including:
- Dr. Omar Al-Hussainan from Ehtekam
- Mr. Hassan Akbar from Cash Clinic
They shared their practical experiences and insights on crisis management, business continuity, and project protection during unstable periods.
Organizers and Participating Tour Companies
The forum brought together a number of tour organizers and companies, including:
- FTU Adventure
- Status Travels
- The Five
- HQ Gateway
- Off Route Trips
- Beyond Trips
Their attendance and participation played an important role in enriching the discussion, raising realistic challenges from the travel sector, and generating practical and implementable ideas.

Discussion Topics
During the forum, a range of topics related to business and trip continuity were discussed, including:
- The importance of having alternative operational plans
- Reviewing contracts and force majeure clauses
- Enhancing clarity of communication with clients during crises
- Considering alternative airports and departure points
- Opening the door for cooperation among organizers to reduce risks and support each other
Beyond Community Magazine — First Edition
One of the most important outcomes of this meeting was the preparation of the first edition of Beyond Community Magazine, a special issue directed at tour operators, which compiles 12 practical and implementable ideas. It was prepared to serve as a simplified reference to help organizers to:
- Deal with challenges and unexpected circumstances
- Support trip continuity and minimize losses
- Enhance traveler safety and elevate the quality of the experience
The goal of this edition is not only to provide theoretical solutions but also to document practical ideas and practices that organizers can benefit from and develop according to the nature of their trips and the needs of their clients.
12 Practical Ideas from the Forum
Idea 1: Alternative Airport as a Trip Departure Point
Instead of all trips starting from Kuwait Airport, some programs can be designed with an alternative departure point such as Dubai Airport or Dammam Airport. This reduces complete reliance on Kuwait Airport and allows trips to continue even with local restrictions or closures.
Idea 2: Crisis Transformation – From Complete Stoppage to Manageable Risk
The main idea is to build clear alternatives, strong contracts, and flexible options for travelers, along with regional expansion and community support among organizers.
Idea 3: Mandatory Travel Insurance for All Participants
Travel insurance becomes a mandatory condition for participating in trips, not limited to medical cases, but as a precautionary measure for any emergency during travel.
Idea 4: Clear Contracts and Specific Force Majeure Clauses
Reviewing contracts and adding clear clauses that define the rights of the organizer and the traveler in cases of cancellation or forced postponement.
Idea 5: A Continuity Plan for Every Trip
Preparing a continuity file for each trip before its launch, including an alternative airport, decision deadline, client messages, and postponement options.
Idea 6: Multiple Departure Packages
Designing Package A from Kuwait, Package B from Dubai, and Package C land-only, making trips broader and more flexible.
Idea 7: Partnerships for Land Transportation
Arranging prior agreements with VIP buses, private cars, and family vans for transportation from Kuwait to Dammam or Dubai.
Idea 8: Operational Support Agreement Among Organizers
If one organizer is unable to travel, an accredited member of the community covers the trip for a pre-agreed price.
Idea 9: Flexible Options for Travelers
Providing multiple options instead of just cancellation or refund: postponing the trip, converting the amount to travel credit, transferring the booking to another person, or offering a special discount on a future trip.
Idea 10: Improved Communication with Clients During Crises
Clients don't need grand promises, but clarity and reassurance. Use calm and confident language, acknowledge challenges, and avoid fear-mongering or impossible guarantees.
Idea 11: Clear Policy for Postponement and Credit
Instead of cancellation or refund being the only option, providing more flexible options reduces losses and retains clients.
Idea 12: Diversifying Markets Outside Kuwait
Targeting clients from outside Kuwait, especially if the trip starts from an alternative airport. Potential markets: Saudi Arabia, UAE, Qatar, Gulf residents, and Arabs interested in organized travel experiences.
Concluding Remark
At Beyond Community, we believe that the strength of the sector is not built solely individually, but through a community that exchanges experiences, discusses challenges transparently, and seeks solutions that protect both the organizer and the traveler.
Our sincere thanks and appreciation to everyone who attended, participated, and contributed to enriching this forum with their ideas and experience. This work is the fruit of collective participation and a first step we are proud of within the journey of the Beyond community.
Proud of the first achievements of the Beyond community, and the best is yet to come, God willing.
